How the VA Claims Process Works (and Why Timelines Matter)

After you file a VA disability claim, it moves through a structured review process where evidence is evaluated, and VA regulations are applied. 

While the process can feel slow or unclear, every claim follows the same core stages. 

Understanding these steps can give you clearer insight into what’s happening as your claim moves forward.

  • Processing times vary from claim to claim based on factors like record availability, medical exams, and overall VA workload, and longer timelines are often part of normal review. 
  • If you disagree with your VA claim decision, the VA offers three decision review options, allowing you to choose the path that best fits your situation. 

8 Steps of the VA Claims Process 

Step 1: Claim Received 

When the VA receives your claim, you’ll receive confirmation that it’s been logged into the system. 

If you file online, you’ll see a confirmation message right away. If you mail your application, the VA will send you a letter confirming receipt after your claim has been processed. 

You should get the letter in about one week, plus mailing time, after the VA receives your claim. 

Step 2: Initial Review 

During the initial review, the VA verifies basic information, such as your name and Social Security number. 

If anything important is missing, the VA will contact you to request that information before moving forward. 

Step 3: Evidence Gathering 

Next, the VA reviews your claim to see whether it has everything needed to make a decision. This is often the longest part of the process. 

If more information is required, the VA may ask you to submit additional evidence, schedule a VA claim exam, request records from private healthcare providers, or collect records from VA systems. 

You can submit evidence at any time, but adding new information later may cause your claim to return to this step for further review. 

Step 4: Evidence Review 

Once evidence gathering is complete, the VA reviews all available information together. This includes medical records, exam results, and any other documentation related to your claim. 

The goal at this stage is to determine whether the evidence supports service connection and, if so, the severity of the condition. 

Step 5: Rating Decision 

At this step, the VA makes a decision on your claim. If service connection is granted, the VA assigns a disability rating based on the severity of your condition. 

Step 6: Preparing Decision Letter 

After a decision is made, the VA prepares your decision letter. If benefits are granted, the letter will explain your disability rating, monthly payment amount, and the effective date of your payments. 

If new evidence is submitted or additional information is needed, the claim may return to the evidence-gathering stage before the decision is finalized. 

Step 7: Final Review 

Before the decision is sent, a senior reviewer conducts a final review to ensure it’s accurate and in compliance with VA rules and regulations. 

Step 8: Claim Decided

Once the review is complete, your decision is finalized. You can view and download your decision letter through the VA’s claim status tool

The VA will also mail you a copy of the decision letter, which usually takes about ten business days but can take longer. 

Why VA Claim Timelines Vary 

No two VA claims move at the same pace. Timelines can be affected by several factors, including: 

  • The number of conditions claimed 
  • Availability of service and medical records 
  • Whether exams or medical opinions are needed 
  • The complexity of service connection issues 
  • The VA’s overall workload 

Longer timelines don’t mean your claim is weak or failing. In many cases, they simply reflect the amount of review required or the current size of the VA claim backlog.

What Are Your Options After a VA Claim Decision? 

If you receive a VA disability claim decision dated on or after February 19, 2019, and believe it doesn’t fully reflect your condition, you have the option to request a review. 

The VA offers three decision review paths, allowing you to choose the option that best fits your situation.
